SAMPLE & APPROVAL PROCESS

Use every sample to
answer a buying question.

Give prototypes, color samples, packed samples and pre-production references a defined purpose so approvals remain traceable when the project changes.

BETTER SAMPLE DECISIONS

A sample is evidence, not a complete specification.

A physical unit can answer important questions, but it should be connected to written product, packaging and approval information before it becomes a production reference.

1

Purpose

State whether the sample is for product direction, appearance, function, packaging, photography or production approval.

2

Identity

Record shape, panel, base, controls, accessories, packaging and revision so feedback cannot drift to a different version.

3

Decision

Capture observations, approved points, rejected points, changes and remaining questions with a named reviewer and date.

SAMPLE FEEDBACK

Turn comments into controlled changes.

Feedback such as brighter, better fit or premium packaging is difficult to execute until it is linked to a location, reference, observable outcome and decision owner.

When a change is accepted, issue a new revision and state whether earlier approvals still apply.

  • One feedback log
  • Visible revision changes
  • Production-reference status stated
BUYER WORKFLOW

A four-stage sample workflow

1

Question

Define the decision the sample must support and the evidence needed to make it.

2

Reference

Identify the complete product, contents, packaging and files represented by the sample.

3

Review

Observe under agreed conditions and record evidence, comments, owner and due date.

4

Release

Approve, reject or revise; then identify which physical and digital references govern the next stage.

ENQUIRY CHECKLIST

Sample review checklist inputs

The exact checklist depends on the sample purpose, but these inputs keep most reviews anchored to the real configuration.

  • Sample ID and revision
  • Product and packed contents
  • Appearance and illumination observations
  • Controls and power arrangement
  • Artwork and packaging references
  • Decision owner and open-action log
FREQUENTLY ASKED QUESTIONS

Questions buyers ask before the next step

How many sample rounds are required?

There is no universal number. The rounds depend on the decisions, changes and risk remaining. A new material, pack or control change may require a new sample even when the shape is unchanged.

Can photos replace a physical sample?

Photos can support a review but may not represent scale, fit, surface condition, operation, packing protection or lighting behavior. Decide what evidence is adequate for each approval.

What is a golden sample?

It is a specifically identified approved reference used with written requirements. Its status, storage, validity and relationship to later revisions should be controlled.
